It arrived late
Closing times are strict. A quote received after the deadline is not considered, no matter how good it is. Submit early and keep proof of the time you sent it.
CSD or tax status not in order
Buyers check the Central Supplier Database. If you're not registered, your registration is incomplete, or your tax status shows non-compliant on the day, your quote can be set aside. Check your CSD profile before every submission.
Forms missing, incomplete or unsigned
Leaving out a required form, skipping fields or forgetting a signature is one of the most common reasons for rejection. Use the buyer's forms, complete every field and sign wherever asked.
It didn't meet the specification
- Offering a different product without showing it's equivalent.
- Quoting only some items when the RFQ requires all of them.
- Different quantities, sizes or delivery terms from what was asked.
Pricing problems
- Totals that don't add up, or unit prices missing.
- Adding VAT when you're not VAT registered, or leaving it out when you are.
- Conditions on the price, such as "subject to stock availability" or "price may change".
A compulsory briefing was missed
If the RFQ says a briefing or site visit is compulsory, only suppliers on the attendance register can be considered.
Relationships weren't disclosed
The bidder's disclosure form (SBD 4) asks about links to people employed by the state. Answer it honestly and completely. An undisclosed relationship can disqualify your quote and cause bigger problems later.
It was sent the wrong way
Emailing when the RFQ asked for the tender box, sending to the wrong address, or using a file format the buyer can't open. Follow the submission instructions exactly.
Before you press send: on time, CSD active and tax compliant, every form complete and signed, every item quoted to spec, totals correct, briefing attended, disclosure done, right channel.
