What we collect, why we collect it, and the rights you have under POPIA.

1. Who is responsible

Epic Digital Connect (Pty) Ltd (registration number 2023/140861/07), which operates RFQs.co.za, is the responsible party for your personal information under the Protection of Personal Information Act, 2013 (POPIA). You can reach our Information Officer at support@rfqs.co.za.

2. What we collect

  • Account details: your name, business name, email address, cellphone number and password (stored encrypted, never in plain text).
  • Alert settings: the categories and provinces you choose.
  • Billing records: your plan, payment dates, amounts, Payfast references, and the name and email address you used on Payfast. Your card details are handled by Payfast, not us.
  • Messages you send us through the help page or by email.
  • Basic technical information needed to run and secure the site, such as your login session.

3. Why we use it

To run your account, match and email you RFQs, process payments, send service messages (such as payment confirmations and closing-date reminders), answer your questions, and meet our legal obligations. We don't sell your information, and we don't send you marketing from other companies.

4. Who we share it with

Only service providers who help us run RFQs.co.za, such as our website host, our database and login provider, our email provider and Payfast for payments, under agreements that protect your information. Some providers may store data outside South Africa, with the safeguards POPIA requires.

5. How we keep it safe

Your connection to our site is encrypted, passwords are stored encrypted, and access to member data is limited to the systems and people who need it to run the service.

6. Your rights

You can view and update your details in your account, ask us for a copy of the information we hold about you, ask us to correct or delete it, or object to how we use it. Email support@rfqs.co.za and we will respond within a reasonable time. You also have the right to complain to the Information Regulator (South Africa).

7. How long we keep it

For as long as your account is open, and afterwards only as long as needed for legal, tax and accounting purposes.
